How to import data from Excel
PhraseExpander can import data from CSV or Excel files to create and populate glossaries. It will create an entry (either template or autocorrect) for each row in the table.
How to get your data in Excel
PhraseExpander can work with your data format, and map each column to the appropriate field.
It will automatically recognize the following columns and map them to fields.
For templates:
- Contents (maps to the contents of the template)
- Description (maps to the description of the template)
- Abbreviation (maps to the abbreviation of the template)
- Id (maps to the template id)
- References (maps to the list of referenced templates)
For autocorrects:
- Wrong (maps to the wrong entry of the autocorrect)
- Correct (maps to the corrected entry of the autocorrect)
Select and open your data source
- Select the Import tab and select Excel or CSV
- Navigate to your data file and click Open
Choose which data to import
- Select your desired worksheet
- If your data source contains column names in the first row, select “First row contains columns names”.
Optionally set a custom cell range
- Enter the required cell range in the Cell Range field using standard Excel range format (for example, A1:G7).
- Click Refresh
- Click Next
Mapping your fields
PhraseExpander will automatically recognize and map columns with known names.
- Choose whether you are importing Templates or Autocorrects
- In the Template mapping section, ensure your columns are mapped to the correct fields.
- Click Data Preview if you wish to view and scroll through your data
- If your data does not contain abbreviations and you wish to automatically add them, select Auto assign abbreviation
- PhraseExpander can update your glossary if your data changes. To keep a link to your data source, select Link to data source
- Click Finish
- Choose New glossary, or if we are updating an existing glossary, Existing glossary.
- Click OK
Linking to data source
If you chose the Link to Glossary option in #5 (above), PhraseExpander can update your glossary if your data changes.
Linked glossaries are identified by their orange icon
Right-clicking on your glossary will enable you to:
- Reload Data if your data changes
- Edit Data mapping
- Detach the glossary from your datasource
