Sent text is not formatted properly in Microsoft Word or Outlook
When executing a formatted template in Microsoft Word or Microsoft Outlook, the text you see in those applications may appear differently from what you see in PhraseExpander.
In particular, you may notice:
- No text highlighting
- Different fonts
- No background or foreground color
- Inconsistent alignment of headers or images
This discrepancy occurs because when text is pasted, both Word and Outlook merge the pasted text's formatting with the document's current formatting, giving precedence to the latter.
This means that the text formatting from PhraseExpander is totally or partially overridden by the default formatting currently present in Microsoft Word or Outlook.
How to ensure the PhraseExpander formatting is applied
You can choose one of the following options in Word or Outlook to ensure that the formatting you set in PhraseExpander is preserved.
Set formatting to source after the text is inserted
When the text is inserted, instruct Microsoft Word or Outlook to use the source formatting.
- After the text is inserted by PhraseExpander, click on the Paste options button (or press CTRL)
Choose Keep source formatting (or press K)
Ensure that the formatting is shown as in PhraseExpander by setting the source formatting
Set Microsoft Word or Outlook to always use source formatting
To tell the application to always use source formatting by default:
- Click on the Paste options button (or press CTRL)
- Click on Set Default Paste
In the Cut, copy and paste section, under Paste from other programs, select Keep source formatting.
Set the Keep Source Formatting when pasting from other programs
From this point on, the formatting of the text will match what is defined in PhraseExpander without requiring any further action.
